Booking a service window is the part people get wrong most often, and it is not because they under-order. It is because they book the clock instead of the crowd.
Rushes are not evenly spaced
Almost no event drinks steadily. A wedding gets a wall of orders the minute cocktail hour opens and another after dinner. A tree lighting does nothing for forty minutes and then hands us four hundred people in one wave. A market or an office morning is the rare genuinely flat one. When you tell us your schedule, tell us where the wave is — that shapes staffing far more than the total headcount.
Setup and breakdown are outside the window
We arrive early enough to level the truck, fold out the awning, get the machine up to temperature and dial in the grind. That is before your window opens, not during it. Same at the end. So a booked window is time the window is actually open, not time we are on site.
Two short windows beat one long one, sometimes
If your day has a real gap — a ceremony, a program, a session where nobody can leave — say so. We can park and hold rather than pour into an empty courtyard for an hour. Weddings do this constantly: cocktail hour, then again after dinner. A corporate day does it around break times.
The end of the event is busier than you expect
The last fifteen minutes are consistently the busiest at galas, concerts and evening events, because everyone facing a drive home wants coffee at the same moment. If your window closes when the program ends, you miss it. Push it slightly past.
Just tell us the run of the day
Send your actual timeline on the booking form — ceremony at four, dinner at six, dancing at eight. We will suggest the window rather than sell you a longer one. Getting this right costs you nothing and makes the difference between a line that moves and a line that does not.
